Rapidly capture and simplify complex processes by creating hierarchical maps

Simplify huge and complex process flowcharts by developing a hierarchical map of diagrams. From any process step you can “drill down” to a child diagram, as many levels as you want. Don’t panic as Elements manages all the relationships between the diagrams in the map behind the scenes.


Simple, proven diagramming notation

The activity box is a single, simple building block to show WHO needs to do WHAT, WHEN and WHY. Using this simple building block you can describe complex processes but still make them easily understood.

The attachment icon is used to link to any supporting information: notes, URL links or meta data. URL links could be Salesforce screens, screenshots, procedures, work instructions, training, video, configuration spec, web pages or company portals – or even KPIs and dashboards.

Link the lines to another activity box (process step) or use the off-page connector to connect to an activity box on another diagram.

Add sticky notes and images to diagrams

Sticky Notes: These are a quick way of capturing ideas in a workshop, or bringing users attention to something.

Images: You can drag and drop images onto any diagram. Editors can add images and all Viewers can see them. Use it to add branding or any other images to bring the diagram to life; pictures of equipment, locations, maps, clipart….

Manage the diagram hierarchies quickly and easily

Import Drilldown: Instead of drilling down and creating a new blank diagram, you can import/copy an existing map with all of its structure. Perfect when you want to “assemble” a map from several different maps.
Send to child: So you have way too many process steps on one diagram. No problem. Highlight a number of them and “send to child”. This will add a new process step with a drill down on the current diagram and move all the highlighted process steps into the child diagram. Neat.

It is very easy to register and get started. Click on button, verify you email address which is also your username, and start creating maps – or copy of the pre-built maps.

Powerful insights from reporting

Report on all aspects of a process map – diagrams, process steps, resources, attachment and data tables. The report is a grid that can be filtered, sorted or exported to CSV.

Use the Resource report to see where roles or systems are used in diagrams at different levels in the map.

Use data tables to capture meta data associated with different activity boxes – i.e what Salesforce customization is required to support this process step? Then report on the data table entries to see what potential conflicts you have, or the impact of a Lightning upgrade.

Search & Reporting

Forgotten where you documented something?  Want to see where a term is used? Use the full text search across all process maps in a Pro Team Space – or search inside a map across all diagrams. It will search all content in the diagrams and return a list. Alternatively use the powerful  Reporting that is part of the FREE Plan and is available to Editors and Viewers.

Reference Models and Salesforce Configuration Manager

A Reference Model inside Elements is a nested list of items. Each item (or node) can be linked to an activity box on a diagram.  The Reference Model can be populated from an external list  such as the ISO certification standards.

In the initial release the Reference Model only supports the synchronization with the Salesforce Configuration Manager, which enables Salesforce Admins to answer 2 key questions:

  • If I change my operational processes what customizations do I need to update in Salesforce?
  • If I update any customizations (i.e. migrate to Lightning) what processes are impacted?

Salesforce Configuration Manager synchronizes the config data (email templates, reports, custom objects, Visualforce Pages, Approvals…) inside Salesforce in a nested list in Elements.  Then each item can be linked to an activity box on a diagram so a Salesforce Admin can quickly see which customizations have been made to support a process – something which is not currently visible.  Reference Models require a Pro Team Space. Pricing to upgrade a Space to Pro


Smart renumbering

At the end of a workshop it is unlikely the numbering of the process steps will be logical. Renumbering activity boxes on a diagram manually is a pain.  So, with one click you can renumber – from top left to bottom right. And the numbering is reflected all the way down structure of child diagrams.

This is WAY quicker than doing it manually.

Export map to JSON

Any map can be exported to JSON (JavaScript Object Notation). JSON is a lightweight data-interchange format.  Its simple structure makes it very easy to understand and interpret. The JSON file could be used an an external back up or to import into another process application that can read the JSON file.

Pro Pricing approach and minimizing your upgrade costs

You upgrade a Team Space to Pro – not your entire company. All the users in Pro Team Space have access to the Pro features. You only pay for the Editors in that Pro Team Space. All Viewers in a Pro Team Space are free. All your other non-Pro Team Spaces are still free. Pricing to upgrade a Space to Pro

The cost of Pro Editors – $62/month/Editor  (calculated $2/day) – and billed at the end of the month to your credit card. So you pay only for the days that you use. If you add an Editor near the end of the month you pay for just those few days. You want a Pro Space for a 3 month project – no problem.

Don’t pay more than you need to; Think about which Team Space(s) need to be Pro and which maps and Editors you need in the Space. Switch the Editors in the Pro Space that you don’t need to Viewers, and move the other maps into non-Pro (free) Spaces.
