New and improved TEAMS
[READ TIME: 5 mins]
We have improved the way that teams work to be more flexible and more powerful. Anything you have done to date in Elements will be maintained.
Principles of Teams
Teams contain a group of Users who have access to specific Maps. Teams also have their own library of Resources and Data Tables which can be applied across the maps in the team. When Elements was launched, people had to have the same email @domain to work in the same Team, but could share map content outside Teams. Talking to early adopting clients and partners, ideas to extend and enhance the Team concept were well received. So we have implemented some changes.
So what has changed?
1. All users now have their own personal team space
2. You can invite people from multiple organizations (@domains) to the same Team.
3. Any user can now create (or be invited to) any number of Teams
So what does that mean in detail?
1. Personal Space
You now have your own personal ‘sandbox’ space. In here you can do what you like. Play around, learn how to map and build out ideas without polluting your organization’s work teams. You cannot invite anyone to your personal team, but you can share content as you do today from your personal team and you (or other users with copy rights), can copy Maps into other Teams. If you are invited to a Team, on login to Elements, that becomes your default team. If you just register independently, you default Team is your personal space.
2. Multiple organizations in the same team
Your user email @domain is no longer tied to the Team @domain. Those of you who have already created a Team, can now invite users from outside your email domain to not only share content, but to join the Team. This means you can bring your colleagues from other companies into your team, regardless of their email domains. They could be partners, contractors or consultants who you are working with on projects or ongoing operations.
3. Create and join as many teams as you need
Go the ‘Teams’ option on the left hand panel. Create a team, invite all appropriate users and get going. Copy and customize content from any other team or create new maps.
A team could be your whole company, or just a project. It could involve 2 people working up some ideas, 6 companies looking to optimize a changing supply chain or a dozen organizations working together securely on a major project.
Anyone can create any number of Teams and the person who creates the Team is the default Team Admin. As Team Admin you can invite any number of users from any domain and using any email address. You can invite people from within your organization or stakeholders across multiple organizations.
The result?
Any group of people can now work collaboratively in a securely managed Team environment. The broader group of people needed to keep content alive, useful and relevant can create and maintain content across virtual teams that reflect the reality of more and more working environments.
If you’re a global enterprise you can work cross-functionally in a secure environment and share process knowledge across any number of dispersed people and supporting organisations, while limiting access to linked systems procedures and work instructions to those individuals with access.
If you’re a smaller company or want someone to look after the Team Admin role remotely, they can now play that role without any additional email complications.
If you’re a consultant, it means you can quickly and simply engage with more people, more directly and deliver more value.
If you’re a charity or a club or frankly any purpose where sharing a simple but comprehensive picture of “who needs to do what when why and how” to get something done. You can. For free, forever. And now you can invite anyone to that team.
Migration
Everyone who is in your existing Team will stay in your existing Team in the new model. People you have shared Maps with who are outside Teams will stay outside your team. You will now be able to invite those people to your Team if appropriate.
